Reduce the clutter and organize your files. If folders, papers, books and post-its are sprawled all over your seemingly non-existent desk, then you have a problem. Believe it or not, no matter how much people say about having a so-called “organized clutter” on their desks, claiming to be able to immediately find a needed file and knowing where anything and everything is located in the clutter, this simply isn’t true. Trying to dig through unlabeled files, having to open folders one by one to check its contents or leafing through books where you may have inserted an important voucher all waste time. Remember that these could have been time devoted to other tasks that need attention as well as deadlines that need to be met.
Divide your hours in the office according to the tasks that need to be done. For example, use the first two hours making calls and checking your emails. That way you will know if there’s anything urgent that you need to attend to and insert in your schedule. If there’s any meeting that you have to attend to, adjust your daily work schedule accordingly. Use the succeeding hours for paperwork and ask not to be disturbed with not so urgent and unnecessary phone calls for a certain period of time. Turn both your mobile phone and your pager off and activate your voice mail instead. This will help build your concentration and motivate you to finish the tasks at hand.
Make a list of what you need do so as not to miss important meetings, tasks and deadlines. List them according to their urgency and indicate as well how much time you think you will need for each of the tasks. That way, you will know if you have to decline further workload or delegate tasks to other departments or co-workers.
